Letter templates for HMRC and landlords
Ready-made letters in English to HMRC and to your landlord. You fill in the fields and the generator puts together a correct letter. Your data is not sent to our server – everything happens in your browser.
How to send the letter
- HMRC: fastest through your online tax account or the HMRC app. Postal letters about PAYE and Self Assessment go to: HM Revenue and Customs, Pay As You Earn and Self Assessment, BX9 1AS – contact HMRC (GOV.UK).
- Landlord: send by email and keep a copy; for important matters also by recorded post (Royal Mail Signed For).
- Keep evidence: photos of defects, the tenancy agreement, proof of deposit payment, payslips and P60.
- The response deadline in the letter is 14 days – a reasonable time after which you can escalate.
Legal basis
- Taxes Management Act 1970, Sch. 1AB – refund of overpaid tax (claim within 4 years of the end of the tax year).
- Income Tax (PAYE) Regulations 2003 – tax codes and deductions by the employer.
- Landlord and Tenant Act 1985, s. 11 – the landlord’s repairing obligations (England and Wales).
- Housing (Scotland) Act 2006, Repairing Standard – repairing obligations in Scotland; disputes go to the First-tier Tribunal (Housing and Property Chamber).
- Housing Act 2004, ss. 212–215 (England and Wales) and Tenancy Deposit Schemes (Scotland) Regulations 2011 – deposit protection and return.
What to do if there is no reply
- Deposit: if the landlord does not return the deposit, raise a dispute with the deposit protection scheme where it is registered – the process is free – deposit protection (GOV.UK) · Scotland (mygov.scot).
- Repairs: in England report it to your council’s housing department; in Scotland apply to the First-tier Tribunal – Housing and Property Chamber.
- HMRC: if the reply is wrong or late, you can complain – complain to HMRC (GOV.UK).
- Free advice: Citizens Advice (England, Wales, Northern Ireland) and Citizens Advice Scotland.
Important: the templates help you write a letter but do not replace legal advice. Northern Ireland has partly different housing laws. Before sending, read the letter and adapt it to your situation.
